ProSpect Privacy Policy

This Privacy Policy describes how ProSpect ("the App," "we," "us," or "our") collects, uses, and protects your information when you use our property inspection mobile application. By using ProSpect, you agree to the practices described in this policy.
1. Information We Collect
We collect the following categories of information to provide and improve our services:
a. Account and Profile Information
- Your name, email address, phone number, and company name
- Company logo and inspector headshot photos you upload
- Credentials and certifications you enter in your profile
b. Inspection Data
- Property addresses and details for inspections you create
- Inspection findings, condition ratings, and notes
- Photos you capture and annotate during inspections
- Inspection reports and documents you generate
c. Contact Information
- Names, email addresses, phone numbers, and addresses of your clients that you enter into the App
d. Calendar and Scheduling Data
- Appointments and inspection dates you create within the App
e. Financial Information
- Invoice amounts, fee templates, and payment status
- We do not directly process credit card numbers. Payment processing is handled by Square (see Section 3)
f. Device and Usage Data
- Device type and operating system version
- App usage patterns for performance improvement
- Crash logs and error reports
g. Biometric Data
- If you enable Face ID or Touch ID for app lock, biometric authentication is processed entirely on your device by Apple's built-in frameworks. We never receive, store, or transmit your biometric data.
2. How We Use Your Information
We use the information we collect to:
- Create and manage property inspection reports
- Generate PDF reports branded with your company information
- Send inspection agreements to your clients for digital signature
- Create and send invoices for inspection services
- Provide calendar scheduling and appointment management
- Enable GPS directions to inspection properties
- Secure your account with PIN code and optional biometric lock
- Improve app performance and fix technical issues
- Communicate with you about your account or the service
We do not use your data for advertising or sell your data to third parties.
3. Third-Party Services
ProSpect integrates with the following third-party services, each governed by their own privacy policies:
- Square — Used for invoice creation and payment collection. When you generate an invoice through Square, client contact and invoice details are shared with Square to process the transaction. Square Privacy Policy
- SendGrid (Twilio) — Used to deliver inspection agreement emails to your clients. Recipient email addresses and agreement content are shared with SendGrid for email delivery. SendGrid Privacy Policy
- Google Places API — Used to provide address autocomplete suggestions. Address search queries are sent to Google to return location results. Google Privacy Policy
These third-party services are required to protect your data to standards equal to or exceeding those described in this policy.
4. Data Storage and Security
- Inspection data, contacts, and settings are stored locally on your device and on our secure servers
- Server-side data is stored in encrypted databases
- Communication between the App and our servers is encrypted using HTTPS/TLS
- App access can be protected with a 4-digit PIN code and optional biometric authentication (Face ID/Touch ID)
- We implement industry-standard security measures to protect against unauthorized access, alteration, or destruction of your data
5. Data Retention and Deletion
- Your data is retained for as long as your account is active or as needed to provide our services
- You may delete individual inspections, contacts, and other records at any time within the App
- To request complete deletion of your account and all associated data, contact us at the email address listed in Section 10
- Upon receiving a deletion request, we will remove your data within 30 days, except where retention is required by law
- Data shared with third-party services (Square, SendGrid) is subject to their respective retention policies
6. Your Rights
Depending on your location, you may have the following rights:
- Access — Request a copy of the personal data we hold about you
- Correction — Update or correct inaccurate information
- Deletion — Request that we delete your personal data
- Portability — Receive your data in a structured, commonly used format
- Opt-Out — Withdraw consent for optional data processing

7. Children's Privacy
ProSpect is not intended for use by children under the age of 13 (or the applicable age of consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.
8. International Data Transfers
Your information may be transferred to and processed in countries other than your own. When this occurs, we ensure appropriate safeguards are in place to protect your data in accordance with applicable privacy laws, including GDPR and CCPA where applicable.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by updating the "Last Updated" date at the top of this policy and, where appropriate, through in-app notification. Your continued use of the App after changes take effect constitutes your acceptance of the revised policy.
